SWNRM is committed to protecting personal and sensitive information and complying with the Privacy Act 1988 (Cth) and the related Australian Privacy Principles (APPs).


OUR POLICY

1. Private Information shall mean information or an opinion about an identified individual, or an individual who is reasonably identifiable, including but not limited to names, addresses, bank account details, contract details and records of staff, clients and any other individuals dealing with SWNRM.

2. Sensitive Information shall mean a type of personal information that may result in discrimination or harm if mishandled, including by not limited to race, ethnicity, religious beliefs, political beliefs, membership of associations, sexual preference, criminal records, health information and genetic information.

3. SWNRM will only collect Private and Sensitive Information by lawful and fair means. In relation to Sensitive Information, SWNRM shall only collect this information with consent of the individual and will not be used for a secondary purpose unless related to the primary purpose of collection.

4. SWNRM will not sell, share or rent any Private and Sensitive Information to third parties, except as otherwise specified in this Privacy Policy, or for purposes that such action could reasonably be expected, that is required or permitted by law, or for which consent has been provided by the owner of the Private and Sensitive Information.

5. SWNRM will hold Private and Sensitive Information on a secure database and in paper-based records. Such Private and Sensitive Information will be appropriately and reasonably safeguarded, secured and protected. The database provider may occasionally need to access any database to provide its service to SWNRM.

6. SWNRM will take reasonable steps to remove any Private and Sensitive Information from its database, and/or destroy any paper-based records, if such information is no longer required by the organisation for the purpose it was collected.

7. SWNRM will seek to ensure that Private and Sensitive Information held is protected from misuse, interference and loss caused by unauthorised access, modification or disclosure.

8. SWNRM will take reasonable steps to ensure that Private and Sensitive Information that it collects, holds and uses is accurate, up-to-date and complete, and that any Private and Sensitive Information disclosed to a third party is relevant. SWNRM encourages owners of Private and Sensitive Information to contact SWNRM if such information is inaccurate, outdated, incomplete, irrelevant or misleading.

9. Directors, employees, agents, students, contractors and volunteers are required to treat any Private and Sensitive Information held by SWNRM as confidential.

10. SWNRM may use Private Information and Sensitive Information that it holds, including contact details, to provide marketing information regarding activities, events and products, or to seek donations for our activities. Individuals shall be informed of this prior to collection of such information by SWNRM and can request to opt-out of such marketing material.

11. In the case that Private and Sensitive Information is disclosed without appropriate authority, the Chief Executive Officer and relevant members of the Executive Leadership Team will immediately meet to undertake the following:

a. gather all facts and information in relation to the unauthorised disclosure;

b. assess the risks in relation to the unauthorised disclosure;

c. determine any mitigation steps that may need to be urgently actioned to reduce further harm;

d. determine if there has been a breach of this Privacy Policy; and

e. determine a response in relation to the unauthorised disclosure, including but not limited to informing the subject of the Private and Sensitive Information, reporting to the Board of SWNRM, and/or any improvements that need to be made to prevent future unauthorised disclosure.


THE AUSTRALIAN PRIVACY PRINCIPLES (APPs)

SWNRM shall seek to ensure that the Australian Privacy Principles (APPs) apply to the operations of the organisation.

There are thirteen (13) APPs that must be upheld by all SWNRM Board Directors and Employees and maintained through all operational procedures.
